Data Policy for The Philosophical Society: Oxford (GDPR)

  1. All members’ personal data is held securely and only a very small subset of data (name and town) is shared with the Oxford University Department for Continuing Education (OUDCE) for members to receive a 10% discount for Weekend and Day Philosophy courses at OUDCE and to borrow philosophy books from OUDCE’s Rewley House Library.
  2. Other than the small subset of data shared with OUDCE, members’ data is used solely for the purpose of communicating with members and sending copies of the annual Review.
  3. The data is not shared with any other third parties besides OUDCE, as specified in (1) above.
  4. The Philosophical Society website does not use cookies, except for maintaining a member login session while that session lasts. This session cookie contains only an encryption of the session’s IP address.
  5. All email communications with members are either addressed individually or use ‘blind copies’.
  6. Except when explicitly authorised or explicitly requested, the Society website does not and will not show any personal email addresses.
  7. When members leave the Society, their data is held for eighteen (18) further months and is then deleted.
  8. Members are free to request deletion of some or all their data, though this may have an unavoidable impact on services being provided.
  9. When members are reminded by email to renew their membership, a link is provided to allow members to securely review and, if necessary, modify their personal data held by the Society.
  10. In the event of a data breach, all members will be notified of the breach by email.
  11. Members will be notified of any change to the data policy. September 2025
